We are looking for a highly organized and detail-oriented Administrative Assistant to provide clerical and administrative support to the team. The ideal candidate will assist with daily operations, handle client communications, and ensure the efficient functioning of the office. The role requires strong multitasking abilities, professionalism, and a commitment to confidentiality.

Responsibilities and Duties:
- Client Support: Serve as the first point of contact for clients, answering phone calls, responding to emails, and scheduling appointments.
- Document Management: Organize, maintain, and update client files, ensuring all documentation is accurately filed and readily accessible; Prepare, proofread, and edit correspondence, forms, and reports related to immigration applications and processes.
- Data Entry: Input and maintain accurate client information in the company’s database; Track and manage deadlines for client submissions and follow-up actions.
- Office Coordination: Assist with the day-to-day office operations, including ordering supplies, maintaining office equipment, and keeping the office space organized; Coordinate meetings, prepare meeting materials, and take minutes when required.
- Administrative Support: Assist immigration consultants with preparing application packages, gathering required documents, and organizing submission materials; Monitor and distribute incoming mail and email to the appropriate team members.
- Other Duties: Perform other administrative tasks as assigned to support the smooth operation of the office.
Qualifications:
- Completion of a one- or two-year college or other program for administrative assistants or secretaries
- Minimum 2 to 3 years of experience as an Administrative Assistant or in a similar role.
- Proficiency in office management software and applications.
- Organizational and multitasking abilities.
- Attention to detail and accuracy in all tasks.
- Ability to handle sensitive and confidential information with discretion.
